This Privacy Policy explains how we collect, use, disclose, and safeguard information through our website, ESYDA Connect parent and staff portals, registrations, payments, communications, and programs. ESYDA decides how program information is used and is the point of contact for requests about app data.

• Child Information: Child's name, date of birth, age, school, and grade level for registration purposes.
• Health & Medical Information: Emergency contact details and any relevant medical information provided voluntarily.
• Payment Records: Fees, deposits, credits, balances, transaction status, and payment references. Card checkout is handled by Stripe; ESYDA Connect uses the resulting payment records to update accounts.
• Program Activity: Team assignments, schedules, attendance, event questionnaires, registration forms, waivers, documents, and messages or Team Chat content.
• Usage Data: Information about how you interact with our website, including IP address, browser type, and pages visited.
• Photos & Media: Images, videos, and files you or staff upload, and event media, according to the applicable registration and media choices.

• Process payments and send receipts
• Ensure the safety and well-being of all participants

4. Children's Information

ESYDA programs involve minors. A parent or legal guardian should provide a child's registration information and manage the family's portal account. We use player information to administer the program and share it with authorized staff, coaches, and the family's linked parent or guardian accounts as needed. If you believe a child submitted information directly without appropriate guardian involvement, or a parent account is linked incorrectly, contact us at info@esyda.org.

5. Sharing Your Information

We do not sell, trade, or rent your personal information. We may share information with:

• Coaches and Staff: To facilitate program delivery and participant safety.
• Base44: The platform hosting ESYDA Connect, its app data, authentication, and uploaded files. Base44 processes app personal data for ESYDA under its applicable platform terms and data processing agreement and may use subprocessors to provide the service.
• Payment Processor: Stripe handles online card checkout; we receive transaction details needed to maintain payment records and resolve balances.
• Communications Providers: Resend for email and Twilio for SMS when we send those communications.
• Other Service Providers: Providers supporting app operation or a program, when needed for that service.
• Legal Authorities: When required by law or to protect the safety of our participants.

6. Base44 Hosting and Data Location

ESYDA Connect runs on Base44. Base44 stores and processes app information for us and may engage subprocessors, including providers in other locations. ESYDA controls the app's registration fields, access permissions, and program uses of that information. Base44's Data Processing Agreement describes its processing and subprocessors. Please send requests about your ESYDA or player records to ESYDA rather than to Base44.

7. Data Security

We use access controls and reasonable safeguards for personal information. Base44 provides the app's hosting and platform security under its applicable service commitments. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Cookies & App Usage

The website and ESYDA Connect may use cookies or similar technologies to support sign-in, security, and operation, and may collect basic technical usage information. You can manage cookies in your browser; blocking essential cookies may prevent portal sign-in or other features from working.

9. Access, Correction, and Retention

Depending on applicable law, you may ask us to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your personal data (subject to legal obligations)
• Stop optional marketing communications or update communication preferences

We retain information while needed for the program, account history, safety, accounting, dispute resolution, and legal obligations, then delete or de-identify it when appropriate. Some records or backups may remain for a limited time after an account is closed.

10. SMS / Text Messaging Opt-In Policy

ESYDA may send automated SMS/text messages to participants and families who provide a phone number and opt in to receive communications. By checking the SMS consent box on any of our registration or contact forms, you agree to the following terms:

• Message Types: You may receive automated messages regarding practices, games, tryouts, events, program announcements, and other important ESYDA communications.
• Message Frequency: Message frequency varies. You may receive frequent messages during active program seasons.
• Message & Data Rates: Standard message and data rates may apply depending on your mobile carrier and plan.
• Consent is Not Required: You are not required to consent to receive SMS messages as a condition of registration or participation in any ESYDA program.
• Opt-Out: You may opt out at any time by replying STOP to any message you receive. After opting out, you will receive a single confirmation message and no further SMS messages will be sent.

• Supported Carriers: Most major US carriers are supported. ESYDA is not liable for delayed or undelivered messages.
